About the role:

The Executive Administration Officer plays a pivotal role in providing high-level administrative support to the executive leadership team and acting as the Executive Assistant to the Chief Executive Officer (CEO). This role requires a proactive, organised, and detail-oriented individual who can effectively manage complex schedules, coordinate meetings, and communicate across all levels of the organisation. The Executive Administration Officer will be expected to handle confidential information with discretion, assist with strategic initiatives, and act as a liaison between the executive team and other departments.

You will:

Act as the Executive Assistant to the Chief Executive Officer and provide support to the wider executive team

Coordinate travel including flight bookings, accommodation, transportation and itineraries for the executive team

Organise internal and external meetings, conferences and special events

Ensure all logistics including room bookings, catering and technology are set up and function smoothly

Assist with completion of expense reporting including credit card reconciliation

Take minutes and act in a secretarial capacity for Committee meetings

Preparation of Committee and Board packs, presentations and other materials required by the executive team

Act as key point of contact between executives and internal/external stakeholders

Manage office supplies and equipment including ordering

Arranging catering

Provide support to the WHS Delegate in maintenance and compliance activities

Provide customer service support to internal and external stakeholders

Assist in maintaining compliance with company policies and procedures

Required Skills and Experience

You will be a good fit if you have:

Well-developed organisational skills, including strong attention to detail and the ability to prioritise and control own workload

Excellent interpersonal, written and oral communication skills including the ability to develop and maintain positive working relationships with internal and external stakeholders

Advanced experience with Microsoft Office suite of programs

Ability to participate in a team, contributing to the goals of the section and the organisation

Ability to stay composed under pressure

Ability to display initiative, contribute new ideas and challenge current systems and processes to ensure ongoing improvement

Essential Qualifications/Certifications:

A high school certificate or equivalent

Desirable Experience/Qualifications:

Previous experience in business/office administration or equivalent

Experience in an education or not-for-profit organisation

A degree or VET qualification in business administration

This is a permanent position based in Milton, Qld with a Hybrid Work from Home and Office arrangement.
