Administration Assistant

Varied admin position in property firm

Provide admin/office support

About the Role

Based in beautiful, centrally located offices, my client is a highly successful property firm renowned for their innovative designs and strong market reputation. Due to their continued growth, they are seeking an office manager to support the team efficiently and effectively. As the Operational backbone, you will contribute significantly towards the overall success of the firm by keeping the team and office running like a well-oiled machine.

Key responsibilities -

Assist with general office duties to ensure seamless day-to-day operations.

Assist with onboarding and off-boarding processes, ensuring all documentation, IT access, and office equipment are properly set up.

Maintain office supplies, equipment, and IT systems to ensure a well-functioning work environment.

Coordinate with external contractors and service providers as needed.

Provide IT support, including troubleshooting minor technical issues and liaising with external IT support when necessary.

Ensure the office is maintained, organised, and running efficiently.

Support the team with administrative, operational tasks and ad-hoc duties as required.

Coordinate office events/lunches/birthdays.

Look after office renewals and subscriptions.

Maintain a well groomed and business like appearance.

Answering and responding to inbound phone calls

Preparation of agendas, taking meeting minutes and documenting follow up actions

Ad-hoc administrative support for property matters

Travel arrangements including flights, cars and accommodation

Assist with marketing material and social media management

Ad-hoc personal assistance e.g. dry cleaning, personal travel etc.

About You

You are an exceptionally organised and commercially astute Administrator with experience gained largely from within the property industry. You are adaptable, flexible and able to accommodate competing time-sensitive demands without breaking a sweat. You have exemplary professional communication skills and thrive in a fast-paced, client-facing environment.

You will have -

Demonstrated experience in a similar position

Excellent administration skills

A general understanding of and interest in the property industry

Adept across all MS Office applications

Strong attention to detail and time management capabilities

Outstanding communication and interpersonal skills

The ability to multitask and meet tight, conflicting deadlines

A reliable, proactive and professional work ethic
