About This Opportunity

We are looking for an experienced Executive Officer to join our Property and Facilities Division. This role provides high-level policy advice, project coordination and administrative support to the Chief Property Officer (CPO) to ensure the activity and functions in the Property and Facilities Division are delivered to a high standard. This position works collaboratively with other stakeholders to progress the strategic priorities and objectives of the University.

Duties and responsibilities include, but are not limited to:

  • Provide high-level strategic support and advice pertaining to planning, governance, budgeting, resource management and workforce planning processes.
  • Manage the executive leaders' portfolio of activity, including undertaking research and preparing draft communications; financial management and budgeting; preparing reports, presentations and talking points as required.
  • Coordinate and drive the delivery of strategic projects, initiatives and activities.
  • Develop and implement best practice systems and procedures to facilitate the efficient and effective administration of the CPO Office's activities.
  • Develop, review and maintain performance trend analyses of Key Performance Indicators to inform strategy and operations and optimise achievement of operational outcomes.
  • Undertake financial management responsibilities and exercise the appropriate financial delegation in accordance with University policy and procedures.
  • Manage executive-level communications, including monitoring incoming correspondence, determining required actions and seeking resolution as required.
  • Build and maintain ongoing relationships with key internal and external stakeholders through consultation and engagement as required, in order to establish and deliver strategic priorities, objectives and programs/projects.
  • Manage events, activities and visits (for example, executive retreats and workshops).
  • Lead and supervise the Administration Officer, fostering a high-performing and positive work environment.

About You
  • Qualifications in business, administration, or a related discipline, and extensive relevant experience and management expertise; or an equivalent combination of experience and/or education/training.
  • Excellent written and verbal communication skills, including the ability to establish collaborative working relationships with both internal and external stakeholders.
  • High-level interpersonal skills, including the ability to demonstrate judgement, tact, diplomacy, discretion and sensitivity in a role working with confidential and sensitive information.
  • Excellent stakeholder management skills, including the ability to effectively engage, manage, and follow up with stakeholders, as well as escalate issues when necessary.
  • Sound problem solving skills and judgment in resolving or redirecting issues.
  • Highly effective organisational and time management skills, with a demonstrated ability to manage multiple high-priority projects simultaneously, meet tight deadlines, and maintain meticulous attention to detail and accuracy.

Desirable

  • Previous senior administrative or management experience in a tertiary education institution.
  • Experience coordinating projects and supporting change management activities will be highly regarded.

The successful candidate may be required to complete a number of pre-employment checks, including right to work in Australia, criminal check and education check.
