Position Available: Medical Receptionist at ISN Psychology Clinic in Sydney CBD

Incumbent Location: ISN Clinic, Spring Street Sydney CBD

Hours: Casual 2 - 3 days per week. Must be available Thursdays and Fridays (9am - 5.30pm), extra shifts available ad-hoc.

About the Role

ISN Clinic is seeking a dedicated Medical Receptionist to join our psychology clinic. This vital role involves providing comprehensive reception and administrative support, ensuring a warm and welcoming experience for our clients while maintaining the highest professional standards.

You will be part of a team of reception and administration staff working across the four ISN Clinic locations.

Our clinics have both fully registered psychologists, and student psychologists completing placements and training in our clinics. As such, we are able to provide the community with free and low-cost psychology services. The successful candidate will also have a unique opportunity to assist in supporting the student's journey as they develop as clinicians. We seek someone who is passionate about mental health, engaging the community, providing quality services to help others, and being part of a supportive team environment.

You will report directly to the ISN Clinic Director of Clinical Services.

Key Responsibilities

  • Reception and Administration
    Execute daily reception duties and administrative tasks with meticulous attention to detail.
  • Coordination
    Schedule and manage appointments for psychologists and provisional psychologists on placement.
  • Communication
    Handle emails and phone calls proactively, maintaining respectful and professional standards appropriate to a clinical setting. Liaise with stakeholders such as clients and referral agencies, demonstrating strong written and verbal communication skills.
  • Client Interaction
    Provide compassionate, welcoming service to clients, upholding professional standards.
  • Multitasking
    Confidently manage multiple tasks, including handling student, client, and clinician matters as they arise, sometimes simultaneously. Strive to exceed service expectations and deliver memorable experiences.
  • Additional Duties
    Perform other reception and administrative tasks as required. This role requires someone with previous experience in a medical or allied health administrative position who demonstrates attention to detail.
  • Autonomy and Teamwork
    Thrive in both team environments and when working independently, displaying positivity and taking responsibility for tasks efficiently and accurately.

Qualifications

  • Experience: Minimum 2 years of experience in a medical or allied health administrative role.
  • Education: Bachelor’s degree qualification is desirable.
  • Skills: High computer literacy, particularly in Office 365 (Excel, SharePoint), Microsoft, and Google organisational systems. Proficiency in typing (minimum 70 wpm) and minute-taking.
  • Systems Knowledge: Experience with client management systems (CMS)
  • Desirable: Experience with Medicare rebate processing and the ability to work with students, clinicians, and clients simultaneously.
