Executive Officer - State Government Health Organisation

This State based health organisation collaborates with clinicians, consumers, and system leaders to enhance the health system in NSW. They design and implement innovative care delivery methods, partnering with the Ministry of Health, pillar organisations, local health districts, specialty networks, clinicians, patients, and carers.

Your new role
As the Executive Officer, you will provide high-level assistance and support to the Chief Executive and Deputy Secretary, as well as the Executive team.
Your responsibilities will include:
- Secretariat Functions: Prepare papers, take accurate minutes, and maintain an up-to-date action log with appropriate follow-up between meetings. Act as Secretariat for Executive and Senior Leadership team meetings.
- Coordination and Reporting: Coordinate reports and submissions from different teams to produce timely papers for senior leadership meetings.
- Administrative Management: Provide senior administrative direction and management of the administration officers, including improving capability and developing processes that ensure efficient support services.
- Approval Processes: Contribute to and manage a process to ensure transparent and reasonable turn-around times for the approval and feedback of projects and products.
- Special Projects: Support special projects at the direction of the Executive, including the implementation of audit recommendations, records management processes, policy documentation, and compliance registers.
- Additional Support: Perform other business support duties as requested to support the Lead, Strategy and Planning.
What you'll need to succeed
- Superior organisational skills to manage multiple tasks and competing deadlines.
- Excellent interpersonal skills to foster strong working relationships with senior stakeholders.
- High-level communication skills, including minute taking and document management.
- Experience in using discretion and sound judgement with confidential issues.
- Ability to manage administration functions, including diary management and office supplies.
- Knowledge of government workings, public sector accountabilities, and parliamentary processes.
