Your new role
As a Secretariat Officer in this 6+ month contract, you will be a critical enabler of program success, managing the operations of the Secretariat function. This role demands a highly organised, detail-oriented professional with expertise in executive-level governance and exceptional stakeholder engagement skills.
What you'll need to succeed
Key Responsibilities
- Plan, develop, and execute all aspects of Steering Committee and Technology Advisory Board meetings to the highest standards of governance and quality.
- Develop and maintain a comprehensive meeting and reporting schedule to ensure seamless delivery of Secretariat outcomes.
- Coordinate and manage the preparation, publication, and distribution of meeting agendas, papers, and minutes.
- Provide real-time oversight of meeting-related budgets and financial reporting.
- Ensure all reporting and governance requirements are met, delivering accurate, timely updates to key stakeholders.
- Coordinate post-meeting action items, ensuring clear ownership, timely progress reporting, and successful completion of deliverables.
- Partner with Program Management to ensure governance protocols and quality standards are adhered to across all Strategic Investment Fund (SIF) workstreams.
- Provide transparent and accurate reporting to the Technology Advisory Board and Steering Committee.
- Establish and maintain strong relationships with executive stakeholders, ensuring effective communication, collaboration, negotiation, and issues management.
- Proactively engage with stakeholders to strengthen governance practices and promote alignment with institutional goals.
- Monitor and evaluate the effectiveness of Secretariat processes, identifying gaps or issues and adapting protocols to ensure continuous improvement and achievement of planned outcomes.
