About the role:
An exciting opportunity exists for an Administration Officer to join Victoria Police's People Development Command (PDC), working in the Student Services Unit within the Business Services Division. PDC plays a vital role in building the skills, capabilities, and confidence of Victoria Police employees to lead and positively influence the community. Through the delivery of comprehensive training and ongoing development programs, PDC supports all Victoria Police employees from their initial induction through every stage of their career.
Student Services is the primary point of contact for all recruits during their time at the Academy, playing a vital role in supporting their training journey. The team manages student records, attends to staff and student enquiries, and coordinates key Academy events including Induction, Family Night, Swearing In, and Graduation. They also oversee the distribution of course materials and provide daily assistance to recruits as needed.
Reporting to the Student Services Team Leader, you will join a small, collaborative team dedicated to delivering a positive and seamless student experience.

Your duties will include:
- Updating and maintaining record systems including the Student Services Database, for management of student records and results.
- Maintaining filing systems and distributing documentation relevant to student enrolment and assessment results.
- Maintaining accountable documents including data entry, typing and word processing.
- Prepare routine correspondence on a range of administrative matters and attend to follow up procedures.
- Deliver engaging information sessions to newly inducted students and conduct guided tours of the Victoria Police Academy to enhance their orientation and understanding of the facility.
- Coordinate and support the delivery of key student events and ceremonies, including inductions, graduations, swearing-in ceremonies, cap badge presentations, and end-of-service celebrations, ensuring smooth execution and a positive experience for all participants.
- Attend to telephone and counter enquiries from both internal and external stakeholders.
- Undertake other tasks as required.
About You:
The successful candidate will ideally have the following skills and experience:
- Demonstrated experience in planning, coordinating, and delivering events with attention to detail and stakeholder engagement.
- Proven ability to handle sensitive and highly confidential information with discretion, integrity, and sound judgment.
- Demonstrated experience in performing a range of administrative support duties including the preparation of reports and correspondence, minute taking and basic research activities.
- Appropriate word processing and computer skills including the ability to develop and maintain appropriate work recording and monitoring systems.
- Proven organisational and problem-solving skills and the ability to undertake and complete competing activities within acceptable timeframes.
- Well-developed interpersonal skills, including the ability to communicate effectively with senior police members, external agencies, and other personnel.
- Demonstrated ability to function within a team environment and deal appropriately with sensitive and highly confidential information and issues.
Further Information:
- One (1) x full-time, fixed term until 17/9/2027 position available.
- This position is located at Victoria Police Academy, 1 View Mount Road, Glen Waverley.
