We are seeking an Administration Assistant to support the day-to-day operations of our growing allied health and disability services team in Geraldton. This role suits someone who is organised, approachable, and motivated to provide exceptional client and team support within a busy practice environment.
The successful applicant will contribute to the smooth running of the office by managing reception duties, client communication, and administrative tasks with accuracy and care. You will be part of a small, values-driven team focused on delivering person-centred, trauma-informed support to participants under the NDIS and private clients.
Key responsibilities include:
• Greeting clients and managing phone, email, and online enquiries
• Assisting with client onboarding, bookings, and service agreements
• Maintaining accurate client records using our practice management system (e.g. Splose)
• Preparing and sending correspondence, reports, and invoices
• Supporting billing and funding administration, including NDIS and Medicare claims
• Assisting with staff scheduling, meetings, and document management
• Monitoring supplies, resources, and office organisation
• Supporting compliance with privacy and data security requirements
To be successful in this role, you will have:
• Previous experience in an administration or receptionist position, preferably in a health, NDIS, or community setting
• Strong computer literacy and experience with Microsoft Office and cloud-based systems
• Excellent interpersonal and customer service skills
• High attention to detail and ability to manage multiple tasks efficiently
• Understanding of confidentiality and professional boundaries
Desirable qualifications and checks:
• Experience using Splose or similar practice management software
• Knowledge of NDIS processes or Medicare billing
• Current Police Clearance, Working With Children Check, and/or First Aid Certificate
