OPERATIONS ADMINISTRATOR (Team Leader)

Full-Time Position — South Melbourne

We're currently seeking a full-time Operations Administrator to join our growing team in South Melbourne. This role plays a key part in supporting the day-to-day operations of our business — across financial administration, project support, and HR support.

THE ROLE

If you have experience in any of the following areas, we'd love to hear from you:

Managing accounts payable and receivable with accuracy and attention to detail — including preparing and processing invoices, purchase orders, and reconciliations.

Providing day-to-day administrative support for the operations and project teams.

Facilitating onboarding processes for new employees, ensuring compliance with company protocols.

Maintaining accurate financial and HR records.

Preparing reports and identifying opportunities for process improvement.

Communicating effectively across multiple teams and departments.

Demonstrating a strong work ethic, can-do attitude, and positive, team-oriented mindset.

Working under pressure and unsupervised with excellent time management and organisational skills.

Candidates must be Australian citizens or permanent residents with full working rights.

SKILLS & EXPERIENCE

To be successful in this role, you'll bring:

Minimum 3 years of experience in an administrative role within the construction industry.

Advanced Microsoft Excel skills (pivot tables, formulas, data analysis, reporting).

Proficiency in basic formulas and pivot tables to support data analysis and reporting requirements.

Experience using SimPro or other job management systems (preferred).

Strong understanding of accounting and reporting principles.

Excellent written and verbal communication skills.

Ability to manage multiple priorities and meet deadlines.

High attention to detail and a proactive, problem-solving mindset.

Experience with employee onboarding and maintaining HR records (highly desirable).
