About the Role
We are seeking an organised and proactive Operations Coordinator / Customer Service professional to join our team. This role plays a key part in ensuring smooth day-to-day operations, from scheduling and coordination to client communication and reporting. You’ll work closely with our on-site crews, warehouse, and management team to ensure projects are delivered efficiently and to the highest standard.
Key Responsibilities:
Coordinate and schedule jobs, managing staff allocations and project timelines
Liaise with clients to book and coordinate jobs
Prepare and process job sheets and project documentation
Approve timesheets and reconcile reports daily
Manage, maintain and update the staff roster in line with both staff and client requirements
Develop and maintain a cost-effective roster to optimise labour allocation
Escalate operational issues and incidents, including preparing reports where required
Enter and maintain accurate data in online systems
Communicate effectively with clients and internal departments to ensure smooth project flow
Identify risks, track deliverables, and manage them effectively
Uphold OH&S policies and procedures to ensure a safe working environment for all employees, contractors and visitors
Manage incoming stock to ensure items are receipted, checked, and allocated correctly
Perform other operational and administrative duties as required
About You:
Excellent organisational and multitasking skills and ability to work automatously
Strong written and verbal communication abilities
A proactive, problem-solving mindset and attention to detail
Comfortable working in a fast-paced, project-driven environment
Experience in scheduling, logistics, or customer service (preferred)
Confident using online systems
Forklift license preferred but not essential
