About the Company
A well-established and growing provider of construction services is seeking an Administration Officer to support its busy operations team in Queensland. The Role
As an Administration Officer , you will provide vital admin support to the Operations team in the smooth running of day-to-day operations. This role covers administration, payable, receivable, financial tracking, and resource coordination across multiple projects and sites.
It's a dynamic position suited to someone who thrives on organisation and multitasking.
Key Responsibilities
Perform timely bookkeeping tasks such as invoicing, payables and receivables, follow up clients’ payments, reconciliations, costs allocations, projects and budget tracking.
Process contractor payments, timesheets, and assist with invoicing.
Prepare project documentation (SWMS, SDS, policies, compliance portals such as Procore, Hammertech).
Facilitate onboarding and recruitment of employees and subcontractors.
Manage supplier orders, inventory, warehouse operations, and travel arrangements.
Assist with project financial monitoring, KPI reviews, and cost-saving opportunities.
Build strong working relationships with supervisors, staff, contractors, and suppliers.
About You
We are looking for a proactive and detail-oriented professional with strong organisational and communication skills, who enjoys supporting an operations team.
Required:
Associate Degree (AQF Level 6) in Finance, Accounting, or Business Administration.
Minimum 3 years' experience in client invoicing, client invoicing, payables/receivables, and timesheet review.Proficiency in Xero (payroll, invoicing, and reporting) and Microsoft Office, particularly Excel.
High numeracy skills, commercial acumen, and analytical thinking.
Excellent time management, organisation, and ability to prioritise tasks.
Strong initiative with problem-solving and multitasking abilities.
Exceptional written and verbal communication skills.
Ability to work independently and as part of a team, developing relationships with a wide range of stakeholders.
Customer service oriented
Driver's licence and valid White Card (QLD).
Ability to work occasional hours outside the standard schedule and 'go the extra mile' when needed.
Highly Desired:
Advanced Diploma (AQF Level 6) in Accounting, Bookkeeping and Payroll.
