About the Role
We are seeking an experienced and highly organised Senior Administration Officer and Personal Assistant to join our dynamic team. This pivotal role supports the Company Directors and Financial Controller, overseeing a wide range of administrative, operational, and personal assistant functions. You will be central to ensuring the smooth running of the business by coordinating multiple priorities, managing key administrative systems, and maintaining efficient communication across departments.
Key Responsibilities
Business Administration
• Prepare monthly sales, unit, agent reports and event profit and loss
• Manage accounts receivable, assist with accounts payable and payroll
• Coordinate order dispatch in the absence of the wholesale administrator
• Compare, review, and renew all insurance policies
• Update and maintain online ordering, portfolio and product portals
• Handle general admin duties, phone management, and IT support coordination
• Maintain company records, databases, and sensitive documentation
• Perform ad-hoc reporting and business modelling as required
Operations & Office Management
• Maintain plant registers and renewals for water access, fire services, and electrical tagging
• Coordinate motor vehicle registrations, servicing, and maintenance
• Oversee cleaners, rosters, and supplies to maintain high presentation standards
• Manage accommodation bookings and wholesale logistics
• Manage promotional products, corporate mail, and office consumables
• Assist with compliance, tenders, and property maintenance schedules
• Assist with the implementation of systems, policies, and procedures
• Support cellar door operations, wine club queries, and event planning
Personal Assistant
• Provide direct administrative support to Company Directors
• Manage diaries, emails, and travel arrangements
• Draft and edit correspondence, reports, and presentations
• Manage calendars, ensuring scheduling of corporate functions, business travel, executive appointments, staff leave, internal meetings, and leadership engagements
Skills & Experience
• Demonstrated experience in a senior administration or executive assistant role
• Strong interpersonal and communication skills with the ability to liaise across all levels
• Excellent organisation, time management, and multitasking abilities
• Proficiency in Microsoft Office 365; experience with MYOB highly regarded
• High attention to detail with a proactive 'can-do' attitude
• Experience in the wine industry or agribusiness is an advantage
• A minimum of 3-4 years of senior administration or executive assistant experience is required
• Advanced proficiency in Microsoft Office 365 is required
