Job Summary
The Administrative / Accounts Director is a second-tier leadership role providing high-level administrative and financial support to the Storemasta management team under the Managing Director's guidance. This role oversees administrative processes, assists with financial operations, and business systems to ensure efficiency and compliance in a fast-paced manufacturing environment. The ideal candidate is proactive, detail-oriented, with expertise in systems, bookkeeping, and handling confidential information.
Key Responsibilities
Administrative Support: Manage calendars, meetings, and travel arrangements for the Managing Director and senior staff.
Meeting Coordination: Prepare agendas, record minutes, and track action items for departmental and cross-functional meetings.
Document and Financial Reporting: Draft and format reports, correspondence, and financial statements; ensure compliance with company standards.
Financial Assistance: Assist with budgeting, accounts payable/receivable, reconciliations, and financial reporting using ERP/accounting software, ensuring compliance with Australian accounting standards (e.g., AASB).
Administrative Oversight: Manage office tasks, vendor coordination, and administrative procedures as directed.
Systems Administration: Maintain and optimize ERP, Microsoft 365, and Aircall systems for administrative and financial tasks, supporting data entry and reporting.
Communication Handling: Manage departmental communications via email, calls, and Aircall; act as a point of contact for stakeholders.
Project Support: Assist in compliance audits, process improvements, and system integrations related to safety and hazardous goods.
Confidentiality and Compliance: Handle sensitive information discreetly; ensure practices align with ISO 9001 and company values.
Team Collaboration: Support administrative and accounts staff, fostering a collaborative environment aligned with Storemasta's values (Connected, Loyal, Vibrant, Can-Do, Humble, Disciplined).
Required Skills and Qualifications
Proficiency in ERP systems for inventory, financial reporting, and operational workflows.
Advanced Microsoft 365 skills (Outlook, Word, PowerPoint, Excel, Teams, SharePoint) for administrative and financial tasks.
Experience with Aircall or similar VoIP platforms for call management and CRM/ERP integration.
Proficiency in accounting software for financial management and reporting.
Familiarity with CRM (e.g., Salesforce, HubSpot), project management tools (e.g., Asana, Trello), and compliance software.
Ability to troubleshoot basic IT issues and support system users.

Education and Experience
3-5 years of experience in administrative support and financial/bookkeeping roles, ideally in manufacturing, logistics, or safety/compliance industries.
Proven financial support experience, including budgeting, accounts entry, AR, AP
Experience supporting mid-to-senior management and coordinating cross-functional tasks.
Knowledge of Australian WHS regulations and hazardous materials handling is a plus.
Additional Requirements
Proficiency in Australian English.
