The Opportunity

We are seeking an experienced Project Administrator to join our client's Major Projects division on a full-time basis. This role offers the opportunity to contribute to the efficient and effective delivery of significant infrastructure projects by providing high-quality administration support to the project delivery team.

As a Project Administrator, you will play a vital role in supporting project operations through coordination of administrative activities, financial processing, data management, and stakeholder engagement. This position is ideal for someone who thrives in a project environment and enjoys contributing to the successful delivery of major infrastructure initiatives.

Key Responsibilities:

  • Deliver administration services to meet the division's specific needs, including planning and coordination activities, efficient data processing, travel organisation, meeting and workshop coordination (including agendas and minutes), catering arrangements, invoice processing, and document proofing and editing
  • Promote positive customer relationships through service-focused communication and engagement, applying judgement and initiative to support achievement of team objectives
  • Deliver effective and accurate data and information processing, collation, reconciliation and reporting activities aligned with business requirements
  • Support maintenance of registers and databases, ensuring timely collation and accuracy of information
  • Validate and coordinate the approval, processing and administration of invoices and payments related to project, capital and overhead costs, liaising with stakeholders to resolve issues as required
  • Create purchase requisitions and arrange for their release by appropriate financial delegates
  • Provide testing support for business users of the SAP system as required
  • Coordinate timely and accurate material requisition, ordering, delivery, financial processing and reporting on project materials and services in accordance with corporate processes
  • Collaborate with business and administration support team members to drive consistency of processes and ensure alignment with organisational frameworks
  • Maintain proactive communication with stakeholders to minimise risk of project resource and payment delays
  • Monitor and maintain work instructions to ensure consistency within the team

About You:

  • Certificate or higher qualification in Business Administration, Accounting, Project Management or Financial Administration (Associate Diploma ideal), or equivalent demonstrated experience
  • Advanced skills in business systems such as SAP, MS Office and document management systems, or demonstrated experience
  • Demonstrated ability to develop strong cross-divisional relationships, apply a customer service approach and exercise judgement, initiative and discretion in managing stakeholders
  • High-level ability to process, analyse and interpret data to deliver business reporting requirements
  • Significant experience in a project, accounts or administrative support role within a team environment, with demonstrated ability to efficiently apply and drive ongoing enhancement of processes and systems
  • Strong reporting and analytical skills, with ability to manage, extract and analyse data using various business systems
  • Experience with administrative procedures including invoice payments and cost management (requisitions and service orders) utilising systems such as SAP
  • Excellent organisation and time management skills with ability to self-manage
  • Strong written and verbal communication skills
