About the role
A focused, hands‑on role to keep our books accurate, cash flowing, and the office running smoothly. You’ll own bookkeeping, AR/AP, payroll (including Superannuation), and tidy records, while supporting the Branch Manager with timely reporting and basic pricing data.
Key responsibilities (your focus)
Bookkeeping - Daily/weekly bank reconciliations; clear unmatched items promptly. - Accurate expense categorisation and journal accruals/prepayments. - Maintain ledgers and the chart of accounts; month‑end tidy‑up.
Payroll - End‑to‑end payroll processing, including Superannuation contributions and STP submissions; maintain employee records and leave balances.
Accounts Receivable (AR) - Invoice customers accurately and on time; allocate receipts and maintain statements. - Liaise with customers and follow up outstanding payments by phone/email (credit control); resolve queries and manage disputes/credits professionally.
Accounts Payable (AP) - Process supplier/contractor invoices, match to POs/docs, schedule payment runs, track expenses, and maintain supplier records.
Compliance & Reporting - Prepare BAS and IAS packs for review by our accountant (GST coding, audit trail, workpapers). - Support P&L and Balance Sheet preparation; produce monthly & quarterly financial reports to the Branch Manager (including AR aging, bank rec status, key variances).
Commercial Support - Track market data (rates/promotions) and assist the Branch Manager to set prices. - Support budgeting and variance analysis with accurate data and simple schedules. - System improving: set up rules, reminders, templates, and basic automation in Xero and Office apps.
Records & Admin - File keeping (digital + physical): naming conventions, retention, and audit trail integrity. - Data entry and record maintenance; asset & inventory register upkeep. - Light office admin: office maintenance coordination, stationery ordering, supplier onboarding and contact management.
Skills & experience
· 3–5 years bookkeeping, AR/AP, and payroll (including Superannuation) experience in an SME.
· Confident with Xero (or Reckon); proficient in Excel, Word, and Outlook.
· Excellent attention to detail and time management; able to work independently and meet deadlines.
· Team‑focused mindset; courteous but persistent on collections.
· Clear written and verbal communication; customer‑friendly style; highly organised.
· A positive attitude, resilience in challenging situations, and a commitment to excellence.
Success measures
· Bank accounts reconciled weekly.
· On‑time payroll with accurate super/STP; zero critical errors.
· DSO trending down per agreed target; on‑time invoicing at > 98%.
· Month‑end close artefacts ready by T+5 (recs, accruals/prepayments posted); clean BAS/IAS packs for accountant review.
· Filing passes spot checks; asset/inventory registers current.
