We have an exciting opportunity for an experienced administrator to join our vibrant, fun and energetic team. This is a busy and varied role working in the trade industry and you will wear many hats throughout the day. The ideal candidate will embody our values of quality, integrity, and client-focused service.
This is a full-time role based in North Melbourne (onsite parking provided) with flexibility to work from home – must have reliable internet as systems and phone are web based.

Typical tasks include:
Providing prompt, exceptional Internal and External Customer Service
Managing job bookings from start to finish (and everything in between) using the AroFlo software
Preparation of client job reports
Updating client portals
Client Invoicing
Raising contractor and supplier work orders
Responding to emails and keeping a tidy and efficient inbox
Maintaining back-office systems
Answering the telephone in a professional and timely manner
Supporting our team in the office and in the field
Other administrative tasks
About you:
Must love admin
Job management experience – know how to schedule, follow up and wrap up jobs in a timely manner
A team player that works well with others but is self-motivated and can work autonomously
Does not panic when things get busy and just prioritises to get it done
Ideally a minimum of 2+ years administration and customer service experience using a workflow/ scheduling system (we use AroFlo)
Excellent written and verbal communication – spelling and grammar are very important
Efficient time management and organisational skills with the ability to multitask
Strong attention to detail and process driven
Able to switch gears and roll with whatever the day throws at you
Positive attitude and drive for success
Contribute to team cohesiveness and positive culture
Must have experience using Microsoft 365 office suite
