You'll combine the warmth of patient care with the structure of coordination and administration, ensuring every treatment journey runs smoothly from first call to final smile.
About the Role:
We're looking for a Dental Receptionist to support patients on their All-On-4® journey, while helping the team maintain efficient day-to-day operations. This is a dynamic role that blends front office leadership, administrative responsibilities, and customer service, perfect for someone who enjoys both people and process.
Key Responsibilities:
1. Reception & Patient Care
- Greet patients warmly and provide a professional, confident first point of contact
- Handle phone and email communication with clarity and empathy
- Schedule, confirm, and adjust appointments efficiently, minimising gaps or cancellations
- Make courtesy and post-operative follow-up calls in coordination with clinical staff
- Maintain communication with referring dentists and other care providers
- Monitor patient feedback and satisfaction
2. Administration & Financial Support
- Prepare invoices and process payments accurately
- Coordinate payment plans in line with Next Smile Australia protocols
- Maintain accurate patient records, correspondence, and consent documentation
- Track procedural status on spreadsheet reports
3. Assist All-On-4® Treatment Co-ordinator
- Including
Manage All-On-4® enquiries and track bookings
Schedule consultation, surgical and restorative phases, ensuring monthly case goals are met consistently
Co-consult on treatment cases, assisting with scheduling and payment discussions
Essential Skills & Attributes:
- Excellent written and verbal communication skills
- Strong organisational and time-management abilities
- Proactive mindset with genuine initiative
- Emotionally intelligent, empathetic, and calm under pressure
- Confident multitasking and prioritising in a fast-paced setting
- Friendly, professional, and approachable manner
- Must have Australian work rights
Preferred Experience & Knowledge:
- Previous experience in a dental or medical front-desk role
- Competence with patient management systems or CRM tools
- Understanding of treatment coordination and patient finance options (training provided)
