About the Role
Are you a systems thinker who loves solving problems, automating workflows, and creating order from complexity?
We’re seeking a System Administrator to take ownership of our growing technology environment — from CRM and HR systems to communications, web, and analytics tools. You’ll ensure data flows smoothly, integrations run reliably, and our teams have the digital tools they need to perform at their best.
This is a broad role where you’ll work closely with leaders across Sales, Warehouse, Marketing, and Operations to improve efficiency, build automations, and strengthen security and governance. Technology Vision & Strategic Context
SDS plans to evolve to a best-fit CRM/ERP suite as the business grows and scales. While ZoHo experience is an advantage, the priority is proven system-administration excellence across major CRM/ERP ecosystems—HubSpot, Salesforce, Microsoft Dynamics 365, and Atlassian/Jira Service Management—covering data modelling, workflow automation, integration patterns, security/governance, and change management.
The ideal candidate is vendor-agnostic and analytical: able to integrate AI assistants and perform basic data analysis (Python or KNIME) to remove manual work and surface insights; evaluate platform trade-offs; and plan and execute a staged migration with clean data, minimal disruption, and clear success metrics.
Key Responsibilities
Serve as the internal administrator for ZoHo Suite (CRM, Books, Inventory, Analytics, Flow), collaborating closely with the contracted ZoHo Administrator on advanced configuration, automation, and integration.
Administer and support Employment Hero, Slack, Clicksound, Maxo, and WordPress; ensure uptime, reliability, and security across all platforms.
Maintain system access, permissions, roles, and automations to ensure security and operational efficiency.
Provide support to internal teams across Sales, Operations, Warehouse, and Management; coordinate vendor/contractor escalations.
Design, maintain, and optimise integrations using ZoHo Flow, webhooks, and APIs between CRM/ERP, HRIS, telephony/SMS, and web CMS.
Oversee data accuracy, synchronisation, backups, and recovery; maintain operational and leadership dashboards in ZoHo Analytics.
Support compliance with the Australian Privacy Principles and SDS information security policies; perform regular audits and DR tests.
Lead implementation, upgrade, and migration projects (including potential transition to an alternative CRM/ERP platform); create cutover plans and success criteria.
Develop SOPs, configuration records, and runbooks; deliver user onboarding and training to drive adoption and best practice.
Contribute to the technology roadmap and tool selection through requirements gathering, vendor evaluation, TCO analysis, and proof-of-concept trials.
About You
3+ years’ experience in a management or 2IC within system administration or business systems management in a multi-application, cloud-first environment.
Proven, vendor-agnostic CRM/ERP administration experience across one or more of: HubSpot, Salesforce, Microsoft Dynamics 365, ZoHo, and Atlassian/Jira Service Management (including permissions, objects/data model, workflow/automation, integrations, and reporting).
Hands-on experience with integrations (REST APIs, webhooks, iPaaS tools), identity/access management, and data synchronisation across platforms.
Practical experience with WordPress administration (plugins, forms, security), Slack administration (user lifecycle, channels, app governance), and telephony/SMS platforms (Maxo/Clicksound).
Track record leading upgrades, implementations, or platform migrations with defined success metrics, stakeholder communications, and training plans.
Excellent documentation, troubleshooting, and stakeholder communication skills; ability to translate business needs into system designs.
Desirable:
Experience with building and leading an IT/Systems team — hiring, mentoring, defining standards/SOPs, establishing service queues/on-call, and uplifting capability over time.
Experience with Employment Hero or comparable HRIS/payroll platforms.
Familiarity with data analytics tools (ZoHo Analytics, Power BI) and SQL for advanced reporting.
Basic scripting (e.g., JavaScript/Python) to support automation and admin tasks.
Experience in warehousing/inventory workflows and integrations relevant to SDS’s operations.
Formal change management exposure (e.g., PROSCI/ADKAR) and/or ITIL foundations.
