Operations Coordinator – Security, Medical & Risk
With its head office on the Gold Coast, Panoptic Solutions is one of Australia’s premier Security, Intelligence and Medical - Risk Management providers. With continued expansion, we have an additional position opening within our Security Operations Center for another Operations Coordinator. Working a rotating roster, which has been developed around maximising weekends you will be reporting to the Operations Manager. You can expect a strong support network, a great location in Robina (Gold Coast, Queensland), a positive work culture and an open posture towards systems, ideas, and operational development.
This role is highly suitable for a former emergency services dispatch officer.
Your duties
Varied, hands-on, and mission-critical. You will:
Report to the Operations Manager and uphold our Code of Conduct.
Coordinate operational details and complete the administrative duties of Panoptic Solutions security and medical tasks; identify and allocate personnel to jobs and training based in the field.
Maintain attention to detail during high and low tempo of operations whilst enforcing standards with our workforce to maintain the level of service expected by our client base.
Operate cloud-based software and storage systems to keep information flowing and auditable.
Support service delivery with the production of warning orders, mission briefs and task specific information as needed for domestically and internationally appointed client services.
Coordinate and continually monitor guard-force deployments, rosters and staffing allocations for ongoing and short-term contracts.
Assist with operational administration including booking vehicles, hotels, and contractors.
Liaise with external organisations and professionally interface with clients and the workforce.
Work alongside colleagues with adherence to a duty roster for “on call” response and co-ordination of operations.
Ensure the Operations Manager has the support needed to enforce policy and procedures and improve operational systems, reporting, and information flow.
Provide logistics and onboarding personnel and operations.
Contribute to brand and business development: attending professional conferences, workshops and events as required.
Contribute to reports and spreadsheets.
Keep company content current (e.g., PowerPoints) and support in meetings as requested.
Essential skills, qualifications & attributes
Proven ability to coordinate multiple moving parts and drive outcomes at a high operational tempo with personal accountability and autonomy.
Competent with IT platforms such as custom CRMs, cloud storage, tasking/reporting systems, Windows/Mac-friendly workplace. (Work devices to be provided for successful applicant)
Clear written and verbal communication; able to translate technical/operational detail for non-technical audiences into clear mission briefs.
Comfortable interfacing with government agencies, corporate organisations, clients, and prospects; attentive to the need for professional client polish.
An impeccable degree of process discipline: you will keep standard operating procedures current, improve systems, and close the loop on outstanding follow ups and documentation.
Desirable
Highly desirable: experience within emergency services dispatch, civilian rescue dispatching organisations or civil transportation/ logistics dispatch.
Personalities who perform under pressure without being stressed and take challenges head on.
An interest in international studies or foreign affairs or disaster management.
A background in military, law enforcement, emergency services or private security operations is desirable but not essential.
Ability to travel to support current workforce, meet with clients or conduct project quality control.

Location: Robina Gold Coast, QLD (local candidates or those willing to relocate). This is not a remote or partially remote role. The position is required to attend the office due to the operational complexities and control and security of information.
