We are now seeking an Operations Coordinator to join our high-impact team. You’ll support operations across two businesses — Mental Health Academy and Peek Notes — while helping us deliver outstanding services to our partners, learners, and stakeholders.

About the Role

This is a senior operational role for a highly organised, detail-oriented, and proactive professional who thrives in a dynamic environment. Reporting directly to the CEO, you will:

Lead operational workflows and ensure smooth day-to-day business operations.

Provide administrative and operational support to the CEO in various capacities.

Liaise with senior stakeholders, industry associations, and external partners.

Oversee reporting, policy development, and continuous improvement.

This Full-Time on-site position (6 months’ probation) is based from our Head Office in Fortitude Valley, Brisbane. Hours of work are Monday to Friday, 8:30 am to 5:00 pm.

Key Duties & Responsibilities

Administration and Data Reporting

Overseeing and coordinating daily operational functions across both businesses, ensuring efficiency and compliance with organisational policies and standards.

Coordinating the development, implementation, and review of operational systems, policies, and quality-control frameworks.

Conducting regular testing and auditing of online webpages, platforms, and systems to ensure seamless functionality, quality, and user experience.

Creating and interpreting reports to support strategic decision-making.

Managing and maintaining various data processes, ensuring data integrity and high-quality reporting.

Handling and resolving grievances with customers and members of the public.

Coordinating with professional associations, educators, training providers, corporate clients, and other industry partners.

Monitoring compliance requirements and coordinating approvals with industry associations for professional development programs.

Assisting with prioritisation, project planning, and execution of business initiatives.

Preparing high-level documents, reports, and research briefs to support organisational goals.

Providing advice on operational matters, recommending and implementing process and system enhancements where required.

Administrative Support to CEO

Providing administrative support to the CEO in various capacities including document preparation, correspondence, and researching topics.

Developing forms and templates as required.

Assisting with the development and implementation of products and services, documentation, policies and processes.

Assisting with updating policy and procedures manuals.

Assisting with setting up surveys, compiling, analysing and reporting data.

Maintaining and updating various promotional materials including flyers, handbooks, prospectuses, brochures and websites as requested.

Proofreading documents and marketing materials.

Other Duties

Contributing to the development, implementation & maintenance of operational processes, systems and protocols.

Supporting the implementation of technology-driven solutions to streamline systems and enhance customer experience.

Coordinating reviews of operational workflows, identifying opportunities to improve efficiency and scalability.

Coordinating with professional associations, educators, training providers, corporate clients, and other industry partners.

Supporting the delivery of high-profile online educational events by coordinating activities across teams.

Any other duties as reasonably required from time to time.

Required Qualifications, Knowledge & Skills

Essential Skills & Experience

A Bachelor degree with at least two years’ subsequent relevant experience, or an equivalent combination of relevant experience and/or education/training.

Advanced proficiency in Microsoft Word and Excel.

Exceptional organisational and project management skills.

Excellent verbal and written communication skills, including the ability to prepare high-level reports and liaise with senior stakeholders.

Strong analytical and problem-solving capabilities, with proven success improving processes and systems.

Ability to work autonomously, demonstrate initiative, and make sound decisions under broad direction.

Desirable Skills

Experience using SaaS tools such as Airtable, Asana, Stripe, Google Analytics, and Mailchimp.

Familiarity with online education, webinars, or continuing professional development.

Background in managing partnerships and cross-functional collaboration.
