About the Role:
In this dual-role position, you will be responsible for providing day-to-day administrative support and managing a range of accounting tasks. You will play a key role in ensuring smooth office operations and accurate financial record-keeping.
Key Responsibilities:
• Organize and maintain project documentation, contracts, invoices, and correspondence
• Support project managers and site supervisors with scheduling, reporting, and resource planning
• Coordinate with suppliers, subcontractors, and clients for smooth project execution
• Monitor and record daily expenses, purchase orders, and timesheets
• Maintain compliance records including permits, safety documentation, and insurance
• Prepare reports, meeting minutes, and updates for internal and external stakeholders
• Assist in payroll preparation and HR-related administrative tasks
• Manage office supplies, IT systems, and general office duties
• Ensure deadlines and administrative workflows are met in line with project requirements
• Maintain and update all financial records, including accounts payable/receivable, payroll, and general ledger
• Track project costs, prepare job costing reports, and analyze variances against budget
• Support project managers by providing real-time financial data and insights
• Reconcile bank accounts, supplier accounts, and company credit cards
• Prepare monthly, quarterly, and annual financial reports for management review
• Assist in budgeting, forecasting, and cash flow management
• Ensure compliance with tax regulations, industry standards, and internal controls
• Liaise with external auditors, tax advisors, and government bodies as needed
• Monitor construction contracts, change orders, and retention payments for accuracy
• Manage asset registers and depreciation schedules
What We’re Looking For:
Prior experience in an Admin/Accounts role (minimum 2 years preferred)
Proficiency in MYOB
Strong knowledge of Microsoft Office (especially Excel and Outlook)
Excellent attention to detail and time management
Ability to multitask and work independently
Strong written and verbal communication skills
Bookkeeping or Accounting qualifications (desirable but not essential)
