Executive Assistant – Strategic & High-Impact Role
We’re working with a successful private enterprise that’s looking for a capable, hands-on Executive Assistant to support its Managing Director. This is a rare opportunity to take on a role with real depth and variety — one that touches corporate strategy, investment management, agriculture and high-level negotiations.
This is not a typical EA position. The Managing Director oversees several businesses and you will play a key role in keeping everything running smoothly. The position calls for strong judgement, impeccable organisation and the ability to stay one step ahead in a fast-moving environment.
The Executive Assistant will act as the central point of coordination for a wide range of strategic initiatives, including: acquisitions, joint ventures, succession planning and external negotiations. There will also be occasional involvement in personal matters and family business interests.
Key Responsibilities
Executive Support
• Manage diaries, meetings, travel arrangements and correspondence
• Prepare presentations, board papers and reports
Operational and Logistical Support
• Liaise with internal teams, advisers and contractors
• Maintain records and documentation across multiple entities
• Coordinate meetings, events and special projects
Confidential and Strategic Assistance
• Handle sensitive information with absolute discretion
• Research, draft and review reports and documentation
• Provide input and support for negotiations and decision-making
• Represent the Managing Director in meetings when required
Personal Support (Occasional)
• Assist with personal appointments and travel arrangements
• Provide administrative support for tax preparation and related matters
About You
You are an experienced Executive Assistant or senior support professional who combines strong judgement with a calm, organised approach. You are confident working across varied projects, managing competing priorities and dealing with multiple stakeholders.
• Proven background in executive or senior administrative support
• Excellent organisational and communication skills
• Strong discretion and emotional intelligence
• Ability to manage several priorities independently
• Comfortable operating across different industries and environments
Experience in financial services, agriculture, or corporate negotiations will be regarded favourably.
Time Commitment
This is a full-time position based in Melbourne CBD. Some out-of-hours support may be required on occasion. The role suits someone adaptable, responsive and capable of maintaining composure under pressure.
