The Role
The Administration Assistant in the Connection & Belonging team plays a vital role in supporting in the successful and smooth transitions of clients out of the HSP program (across Brisbane, Logan and Toowoomba). The position provides administrative support mainly in auditing and reviewing cases of individuals and families, ensuring the files are ready for exit. The role also supports in maintaining accurate records, managing communications and assisting with various tasks related to program operations. The Administration Assistant contributes to the smooth delivery of settlement services to clients and ensures that administrative processes are carried out effectively.
This is a full-time, fixed-term contract until 30th July 2026 . This role based in Brisbane.
What You’ll Be Doing:
Provide a high standard of administrative support in relation to graduating clients from the HSP program, including reviewing and auditing clients' Case Management Plans to ensure all necessary support measures have been provided and goals have been met.
Identify any areas of concern or additional needs that may require follow-up by Administration Officer, Audit and Exit.
Maintain accurate records and data for all client audits and reviews, ensuring confidentiality and compliance.
Provide a high standard of confidential administrative and operational support to the Case Management Team .
Support the organisation of meetings, workshops, and community activities.
Assist with client referrals, appointment bookings, and service coordination.
Manage data systems and data entry, maintaining accurate records.
Build positive relationships within Client Services teams to ensure high-quality service delivery.
Contribute to risk management initiatives, identifying and mitigating risks to organisational objectives.
Other appropriate duties that may be identified and required occasionally.
Qualifications and Skills required:
Year 12 certificate or equivalent; additional qualifications in office administration or related field preferred.
Proven experience in administrative support roles, preferably in a social services or nonprofit environment.
Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and familiarity with database management systems.
Valid Queensland Driver’s Licence.
Possession of, or willingness and eligibility to obtain a Blue Card (Working with Children Suitability Card in accordance with the Commission for Children and Young People and Child Guardian Act 2000), and
National Police Clearance Check
Additional Desirable Skills:
Experience in the not-for-profit sector, process improvement and program management
Understanding of issues related to immigration, settlement, and multiculturalism is an asset.
