ADMINISTRATIVE RECEPTIONIST / COORDINATOR — Arboriculture Services Company

We are a growing tree removal & arborist services conglomerate looking for an organised, proactive and reliable Administrative Coordinator to join our office team. This role is the back of house operational hub of the business — Assisting with answering incoming client phone calls / emails, scheduling, customer communications and updating / ensuring schedules updated. Our office is based in Tullamarine and working from home is an option if required.

Key Responsibilities

Answer customer calls & emails, provide general information, log enquiries into crm

Issue some invoices & follow-ups (most of this is automated)

Book and manage job schedules for crews (we have a system that takes the load)

Liaise with clients, contractors and internal team

Maintain CRM records, compliance documents (re entering relevant site addresses)

Assist with basic accounts

General admin & office support

Overwatch back of house aspects

About You

Previous admin or office coordination experience (trade/services industry ideal but not essential)

Punctual phone answering tone and manner

Competent with computers, CRM systems (not difficult- we can train you with this),

Able to juggle multiple tasks - assistance and automation will help reduce the load

Detail-focused, organised and self-motivated

Comfortable speaking with both residential and commercial clients

Comfortable working independently

What you will need to have

A Can-do attitude and proactive approach to tasks, ensuring all administrative duties are completed accurately and efficiently.

Advanced Microsoft Office skills

Strong attention to detail

Excellent communication skills

Role Details

Full-time (Mon–Fri) or Part-time

Hours can be flexible (allow for school drop off and pick up)

Office is located in Tullamarine

Competitive salary based on experience

Immediate start available

Payroll (we can train you if not experienced)

Real estate or real estate administration experience is highly regarded

Accounts payable and receivable (automated system are in place to reduce load)
