Whole Family Health is a small, welcoming allied health clinic in St Marys, Western Sydney, providing therapy primarily for children and pets living with disabilities. About the Role
We’re looking for an Allied Health Receptionist who loves people, pets and numbers — someone with great attention to detail and a calm, friendly presence. You’ll keep the front desk running smoothly and help ensure our families and clinicians feel supported every day.
You’ll be guided by clear systems and supportive colleagues while managing:
Client bookings, intake, and general enquiries
Daily invoicing in Splose
Processing plan-manager remittances and allocating payments in Xero
Tracking and invoicing staff non-face-to-face time
Following up on outstanding accounts with professionalism and empathy
Preparing service agreements and support plans
Maintaining stock, equipment, and supplies
Liaising with veterinarians for pet-related reports
Ad-hoc administration and project support as needed
About You
You’ll thrive here if you’re ethical, organised, and motivated by meaningful work.
Essential:
At least 1 year of experience in administration or accounts
Experience in human or veterinary health environments
Excellent written and verbal communication skills
High attention to detail and ability to follow procedures
Confident using Xero and Microsoft Office 365 (Word, Excel, Teams)
Willing to learn Splose medical software (training provided)
Commitment to long-term, relationship-based work with families
Highly desirable:
Bookkeeping or business administration qualification
Knowledge of NDIS processes
Previous customer service or client-facing experience
Mandatory:
Police Check, Working with Children Check and NDIS Worker Screening Check (or willingness to obtain prior to commencement)
Unrestricted Australian work rights
