At HDE, we pride ourselves on our professionalism, reliability, and excellence - and we’re looking for a dedicated Admin Support Officer to join our friendly and supportive team.

About the Role

We’re seeking an Admin Support Officer to work closely with our Service Coordinators and office team to ensure smooth day to day operations.

In this role, you’ll manage reception duties, assist with service coordination, handle invoicing in AroFlo and Xero and provide administrative support across the business.

Based in our Kelvin Grove office, this position is ideal for someone who enjoys variety, takes pride in accuracy and thrives in a team environment.

Key Responsibilities

Reception Duties

Engage with clients, visitors, and stakeholders in a friendly and professional manner.

Manage incoming calls and emails, handling general correspondence efficiently and accurately.

Ensure all interactions with key stakeholders reflect our commitment to exceptional service.

Service Co-ordination Support

Handle incoming service requests via phone and email in a timely and professional manner.

Use AroFlo to raise jobs, attach service reports and close out tasks efficiently.

Assist the Scheduling team with scheduling and workload balancing.

Provide clients with regular updates on job progress and service outcomes.

Manage work orders and documentation end to end in AroFlo to ensure accuracy and timely invoicing.

General Administration

Assist Directors and the Office Manager with ad hoc tasks as required.

Perform accurate data entry to maintain up to date records.

Assist with invoicing, billing and reconciliation in AroFlo and Xero.

About You

Previous experience in administration or project support (construction/trade industry experience highly regarded).

A minimum of 6 months’ hands-on experience with AroFlo, SimPRO, or similar job management software is essential and applicants with this experience will be highly regarded.

Organised, detail-focused and proactive with strong communication skills.

Comfortable using a range of computer systems and software.
