We’re looking for a proactive, organised team member for our Barton office in Canberra. You will contribute to a collaborative, high-performing team and provide consistent weekday coverage. You can work full-time or part-time (at least 30 hours a week), with hybrid working arrangements considered.

About You

Key Responsibilities

Administration support: Manage day-to-day administrative operations, including coordinate office supplies, equipment and facilities to maintain a productive work environment.

Calendar and task management: Coordinate calendars for key events, stakeholder meetings, workshops and courses across the team and projects.

Executive assistance: Provide high-level support to senior leaders, including inbox triage, drafting correspondence, managing follow-ups and organising travel, itineraries and expense reconciliations.

Stakeholder engagement: Manage our Client Management System and serve as a primary point for stakeholders, ensuring timely and professional communication.

Team collaboration: Facilitate effective team communication by scheduling meetings and events, preparing agendas, documenting outcomes and tracking follow-up actions.

Project coordination: Assist in planning, executing and monitoring internal and client facing projects. Collaborate with team members to develop project plans, with defined tasks, dependencies, and milestones. Support project meetings and contribute to progress tracking and reporting.

Technology enablement: Support the maintenance and management of project-related systems and tools including Microsoft Teams, Harvest, Xero and SharePoint.

Operational and workforce support: Contribute to refining operational processes and templates. Support internal initiatives, such as onboarding, compliance tracking and quality assurance. Assist with pre- and post-client engagement activities.

Exceptional organisational and time management skills.

High attention to detail.

Proficiency in Microsoft Office and collaboration tools, with a tech savvy and enthusiasm for developing and maintaining capabilities across multiple platforms.

Experience in project coordination and executive support.

Flexible working style, with a strong sense of accountability and ability to deliver results independently while seeking support when needed.

Agile mindset with the ability to adapt and respond to shifting priorities.

Curiosity and a strong willingness to learn

Essential Experience

Business operations and / or office administration / coordination experience

Preferred Experience

Minimum 2 years' experience in a similar role.

Is an Australian Citizen.

Relevant operations experience in a consulting or professional services environment desirable.
