Midwives in Darwin (MiD) is a private midwifery practice dedicated to providing safe, holistic and respectful care for women and families of the Top End. We are growing our servics to offer more families midwifery continuity of care in a supportive and woman-centred environment. The Opportunity
We’re seeking a proactive and solutions-focused Operations & Projects Officer to lead improvements across our growing practice. You’ll manage projects, optimise systems, and translate data into insights that support sound decision-making and sustainable growth. We are after someone who can see what needs doing, uses initiative, can bring structure to complexity, and turn ideas into outcomes. We are seeking that start up energy that brings innovation, excitement and efficiency to the practice. This is a work from home role and if the successful applicant is local to Darwin, weekly meeting attendance in person will be expected.
About the Role
As Operations & Projects Officer, you will:
Map, improve, and automate business processes across the practice (finance ops, intake, scheduling, compliance workflows).
Build and maintain monthly dashboards/reports (financial, KPI, clinical outcomes) and surface clear insights and recommendations.
Optimise tools and integrations, working with; Google Workspace, BrightHR, Peninsula WHS, form/feedback tools; (Xero experience highly desirable but not essential).
Coordinate administrative requirements of the practice, including handling confidential and private data.
Support the Director with executive logistics and administration, support clinical midwives with administrative support and overall practice operations and administration.
Coordinate patient feedback and escalate flagged issues appropriately.
Contribute to the growth and development of MiD’s services, supporting strategy, planning, financial review and practice optimisation
About You
Proven experience in projects/operations/coordination where you’ve improved processes and delivered outcomes.
Strong business acumen: ie: can read a budget/P&L, connect numbers to operations, and spot opportunities to optimise.
Systems-oriented and confident using Google Sheets, Docs, forms, dashboards, and other online tools; skilled in reviewing and interpreting data, developing clear reports that highlight emerging issues, and supporting problem-solving and decision-making processes.
Exceptional attention to detail and strong follow-through, ensuring accuracy, consistency, and seamless collaboration across tasks and projects.
Initiative, high self-accountability, and a proactive problem-solving approach.
Excellent relationship management and communication skills; able to engage stakeholders effectively, drive action, and remain composed under pressure.
Familiarity with platforms including: G-suite, Loom, Canva, Wordpress
Alignment with MiD’s vision for delivering high-quality, woman-centred maternity care.
Desirable: experience in health or public health environments; familiarity with automation tools, and data collection or feedback systems.
Contemporary skills in automation platforms, systems and software.
Bonus points for familiarity with Xero, highly desirable but not essential
