Job Title: Admin Assistant – Caravan & RV Repair
Overview
We're a hands-on team that takes pride in delivering top-quality repairs, servicing, and upgrades for caravans and RVs. Our admin staff are the engine room of the business, keeping jobs moving, customers informed, and the workshop running smoothly. We’re now looking for a proactive and personable Admin Assistant to join our close-knit office team and help us deliver great customer service, accurate scheduling, and solid support to our technicians.
Position Overview
Position Status: Admin Assistant
Reporting To: Office Manager / Business Owner
Liaise With: Admin team, workshop staff, customers, suppliers
Expected Hours: 8:00am – 4:30pm, Monday to Thursday, 8:00am – 2:30pm Friday
Pay/Rate: Negotiable based on experience and capability
Role Summary
This role supports the day-to-day operations of our service business, helping with scheduling, customer communication, data entry, and admin tasks. It’s a great fit for someone organised, friendly, and confident juggling priorities in a fast-paced environment.
Responsibilities
Answer phone and email enquiries in a professional and timely manner
Greet walk-in customers and assist with basic service enquiries
Schedule jobs and update bookings using our job management system
Prepare and send job quotes, follow-ups, and service reminders
Create and manage job files, ensuring all required documents are filed
Assist with invoicing and entering supplier bills
Communicate clearly with workshop staff about job changes or updates
Chase up parts orders and liaise with suppliers
Help maintain stock records and supplier pricing
Support warranty claims and follow up manufacturer documentation
Keep the office tidy and ensure filing systems are up to date
Work closely with the Office Manager and back up other admin staff when needed
Follow systems for customer feedback and service quality
Maintain confidentiality and uphold the business’s professional standards
Participate in team meetings and suggest ways to improve processes
Represent the business with a friendly, can-do attitude at all times
Key Performance Indicators (KPIs)
100% of job files created and updated before job commencement
All calls and emails responded to within 1 business day
Invoices sent within 48 hours of job completion
100% accuracy on parts ordered and recorded
Customer satisfaction tracked and consistently above 90%
