Senior Personnel Coordinator

Position Overview:
We are seeking a highly organized and proactive Senior Personnel Coordinator to oversee the management of all personnel-related activities, including travel and administrative coordination for a major onshore project. The successful candidate will ensure seamless personnel mobilization, effective roster management, and adherence to all compliance and procedural requirements.
Key Responsibilities:
Manage all operational domestic and international personnel mobilization, ensuring travel and logistics are well-coordinated for smooth transitions.
Oversee the preparation of assignment letters and obtain necessary visas for project personnel.
Liaise with internal teams and external stakeholders, including travel coordinators, to facilitate personnel travel arrangements by fixed-wing and helicopter.
Maintain up-to-date project documentation and ensure compliance with relevant procedures and regulations.
Recommend and implement improvements to project procedures impacting logistics.
Coordinate collaborative efforts between project personnel teams including training, HR, administration, and travel.
Manage and maintain offshore personnel rosters and issue daily roster/travel reports.
Provide on-call support during adverse weather events or other critical situations to manage personnel movements, including weekends.
Coordinate weekly Personnel On Board (POB) reviews with internal and subcontractor stakeholders.
Manage personnel training and competency related to travel readiness.
Coordinate and process offshore timesheets accurately.
Qualifications & Experience:
Year 12 or equivalent; studies in Human Resources Management preferred.
Practical experience managing offshore personnel rosters and mobilization.
Extensive experience coordinating multi-subcontractor personnel logistics, including international travel.
Intermediate proficiency in Microsoft Excel and Word.
Strong knowledge of personnel logistics management systems.
Proven ability to manage multiple stakeholders effectively.
Demonstrated problem-solving skills and the ability to work autonomously under pressure.
