What You’ll Do
Client Interaction and Communication
You’ll be the first point of contact for clients and their families, ensuring a welcoming experience. This includes managing in-person attendance at the clinic, handling phone calls, returning voicemails, and responding to email enquiries promptly and accurately. You will also schedule and reschedule appointments and confirm follow-ups to ensure smooth client journeys.
Administrative Support
You’ll manage a variety of administrative tasks that keep the clinic running efficiently. This includes invoicing, daily payments reconciliation, and keeping client files up to date. You will assist with maintaining NDIS service agreements and ensuring all client documentation requests (e.g., letters, reports, forms) are processed accurately and promptly. You’ll also oversee the completion and processing of client onboarding forms.
Systems and Process Management
You’ll contribute to the clinic's operational efficiency by utilising Cliniko (our clinic management system) to manage appointments, track client interactions, and maintain service agreements. You’ll help ensure that all operational systems are utilised effectively and that administrative workflows are smooth and consistent.
Client Onboarding and Relationship Building
From first contact, you will play an important role in welcoming new clients, managing enquiries through the website, and ensuring their onboarding is smooth and efficient. You will help guide families through the therapy journey with a friendly and supportive approach, including offering parents tea or coffee during their meet and greet.
Office Maintenance and Organisation:
You will assist in keeping the clinic’s reception and office areas tidy and organised, contributing to a positive, professional environment.
