As we grow, we're looking for a highly organised, proactive and client-focused Admin Assistant to join us in supporting both our internal team and valued clients.
About the Role
As our Admin Assistant, you'll be the first point of contact for clients and an integral part of our operations. You'll work closely with our accountants and leadership team to ensure the smooth day-to-day running of the office and assist with a wide range of administrative and compliance tasks.
This is a varied role suited to someone who enjoys taking ownership, loves working with people, and is comfortable using modern cloud-based systems.
Key Responsibilities
Greet clients and manage front desk interactions
Schedule and manage appointments using Calendly
Maintain and organise digital and physical records
Manage incoming/outgoing mail, couriers, and document scanning
Use platforms such as FYI Docs, FuseSign, CAS360, Content Snare & Xero.
Assist with lodgement of tax returns, BAS, and SMSFs
Coordinate company and trust setups and ASIC compliance tasks
Liaise with the ATO and other external parties
Support the onboarding and offboarding of clients
Maintain client records and CRM data
Oversee general office admin
What We're Looking For
Previous experience in an admin or support role in an Australian accounting firm is essential.
A client-first mindset with excellent communication skills
Comfortable using technology and learning new systems
Strong attention to detail and time management skills
Proactive and solution-focused approach
A team player with a can-do attitude
Minimum 2-5 years of administrative experience required
Proficiency in accounting software (XPM and MS Office Suite required, FYI and CAS360 preferred also)
Certificate or Diploma level qualification preferred
Australian citizenship or permanent residency required
