The Position

In the role of Operations Manager, your key responsibilities will include:

  • Support all agents with contract preparation, exchanges, and urgent contract-related queries
  • Attend and assist at all auctions - before, during, and after, including managing exchanges
  • Conduct compliance checks on agency agreements (ID, comparables, checklists, correct details)
  • Oversee and manage the processing of agency agreements and price revisions with admin team
  • Handle all sales exchanges: documentation, system updates (Vault), and coordination with accounts
  • Manage post-sale administration including cheque deposits, contract postage, and listing updates
  • Communicate new sales promptly to the team and ensure accurate listing status across platforms
  • Problem-solve property-related issues for buyers, vendors, and agents as they arise
  • Liaise with IT provider for staff and office tech support
  • Oversee onboarding and offboarding of all employees
  • Manage CPD training records and maintain up-to-date licence files (digital and physical)
  • Conduct internal audits on sales files for compliance
  • Provide operational support to accounts and Chief of Staff, including HR, recruitment, and staff coverage when required

The Person

The ideal candidate for the role of Operations Manager will have:

  • Previous real estate experience as an Operations Manager, Office Manager or high level Executive Assistant
  • Strong experience in real estate contracts and compliance (essential)
  • Deep understanding of agency agreements, OFT regulations, and exchange processes
  • High level of initiative, ownership, and accountability
  • Excellent communication skills and stakeholder management
  • Ability to work under pressure and manage multiple tasks with tight deadlines
  • Strong problem-solving mindset with a proactive approach
  • Tech-savvy with experience using Vault or similar CRM systems
  • Professional, polished, and solutions-focused
