This full-time role (3 days on reception + 2 days behind the scenes) is perfect for someone who loves people, thrives on organisation, and gets genuine satisfaction from making processes smooth, simple and just right.
You’ll spend time on reception to truly understand the heartbeat of the clinic, our clients, the flow, and all the little details that make each day work before taking on more behind-the-scenes tasks to help keep everything running like clockwork.
We’re looking for someone who’s approachable, proactive, emotionally intelligent, and loves being part of a supportive, fun team that genuinely cares about what they do and where they work.

About the Role
This is a senior position with room for growth for the right person. You’ll spend 3 days on reception, being that warm, welcoming face our clients know and love, and 2 days behind the scenes, ensuring all the admin gears turn smoothly so the clinic runs at its best.
No two days are the same here, but your work will always make a difference.
What You’ll Be Doing
Greeting clients and creating a calm, friendly atmosphere (you set the tone)
Answering phones and emails with warmth and professionalism
Managing bookings and schedules using Zanda
Processing payments (Tyro, Stripe, Medicare)
Coordinating assessments, auditing orders and maintaining admin systems
Supporting group programs and team events
General admin magic including birthdays, stock, tidy spaces, and all the little things that make a big difference
Helping refine and improve clinic processes, we love efficiency and fresh ideas!
What We’re Looking For
A genuine people-person with a warm, approachable personality
High emotional intelligence, you can read a room, sense what people need, and respond with empathy and professionalism
A strong eye for detail and a drive to make things run beautifully behind the scenes
Excellent communication and organisation skills
Someone who thrives on making processes perfect and enjoys creating order from chaos
A team player who also loves independent, focused work
Confident in juggling a busy, ever-changing environment
Tech-savvy and quick to pick up new systems (Zanda experience is a bonus)
Experience in allied health or medical reception is highly valued
