As Contracts Specialist & Administrator, you’ll be the backbone of our deals. From drafting to settlement, you ensure every step is accurate, compliant, and smooth — helping agents, clients, and third parties navigate with clarity and confidence.
What You’ll Be Doing
Draft, review and finalise real estate contracts, disclosures, amendments, and related documentation — ensuring compliance with Queensland legislation and internal standards
Monitor key contract milestones (cooling-off, vendor disclosures, extensions, settlement deadlines) and act proactively to keep transactions on track
Communicate clearly with clients, agents, and external stakeholders — translating legal or contractual language into plain, usable terms
Identify risks or ambiguities in contracts and escalate or resolve them before they become issues
Maintain organised and up-to-date contract records and documentation
Collaborate across sales, operations, and management teams to resolve contract-related problems promptly
Stay current with regulatory changes (e.g. QLD Seller Disclosure Scheme) and integrate updates into our contract processes
Assisting with day-to-day Administration duties as needed by Operations
What We’re Looking For
Must-Have / Mandatory
Minimum 2 years’ experience in contract administration, legal support, or real estate transactions
Strong knowledge of Queensland real estate legislation and best practices
Excellent written communication and attention to detail
Ability to manage multiple contracts, deadlines, and stakeholders simultaneously
Real Estate Certificate (or the ability to obtain this upon employment)
Desirable / Nice to Have
Experience in a real estate agency environment
Prior exposure to sales or client-facing roles
Problem-solving mindset and an ability to work independently
Familiarity with real estate software / contract management systems

What You’ll Get
A competitive salary package: $60,000 – $85,000 (inclusive of superannuation), with potential to exceed based on performance
Mentorship and professional development support - you will work directly below the Head of Operations, along with development support from the Principal, Heston Marino & Head of Sales, Brian Baker
