4. To support our strategic growth and operational efficiency, we are now seeking an experienced Program/Project Administrator to join our team. This role offers the opportunity to work in a fast-faced, global environment and contribute to the smooth execution of business operations. We offer a competitive remuneration package ($80,000 to $90,000 plus superannuation) and a supportive workplace that values professional development and career progression.
The successful candidate will need to satisfy the following criteria:
Tertiary qualifications in business administration, project management, logistics, or a related field.
Demonstrated experience as a Project or Program Administrator, preferably in logistics, supply chain, or freight forwarding.
Strong organisational and planning skills, with the ability to manage multiple priorities.
Excellent communication and stakeholder management skills.
Proven analytical skills, with the ability to prepare and present project reports.
Proficiency in Microsoft Office Suite and project management tools such as Microsoft Office, Extensive and Cargowise (Wise Cloud)
A proactive, detail-oriented approach with the ability to work both independently and in a team environment.
Key Duties and Responsibilities
The Project / Program Administrator will be responsible for:
Coordinating resources, meetings, communications, financial records, and documentation for projects and programs.
Developing project and program frameworks, organising and delegating tasks to ensure smooth delivery.
Liaising with professionals, business owners, and senior management to ensure deadlines and compliance requirements are met.
Advising senior management on matters requiring attention and supporting the implementation of strategic decisions.
Maintaining CRM, sales, and compliance records to ensure seamless handover and reporting accuracy.
Ensuring all project documentation is current, compliant, and accessible.
Collating and review supplier and subcontractor quotes to assist the estimating team
Gather supporting materials, track deadlines, and maintain tender registers
Overseeing contractor performance, monitoring progress, and reporting on work order variations.
Preparing and reviewing submissions, reports, and documentation concerning organisational activities.
Collecting and analysing project data, and reporting outcomes to internal and external stakeholders.
