About Jesuit Education Australasia
Jesuit Education Australasia (JEA) was established in 2017. It is a work of the Society of Jesus in Australia. JEA has the responsibility to provide strategic oversight and governance of the educational ministry within the Australian Province of the Society of Jesus. Its purpose is to:
advance and provide leadership in Catholic education in the Jesuit tradition;
ensure, support, and facilitate communication and collaboration between, the Jesuit Colleges, Jesuit Companion Schools and other entities that operate to advance Catholic education in the Jesuit tradition as specified by the Provincial;
ensure that each of the Colleges is conducted as a Catholic school in the Jesuit tradition of such character as may from time to time be specified by the Province;
carry on or assist in the carrying on and promotion of the charitable activities of the Province in connection with education;
ensure that the Jesuit Colleges and Jesuit Companion schools give authentic witness to the Ignatian vision and Jesuit mission of education; and
do all other things necessary for, or ancillary to, the fulfilment of the purposes listed above.
About the role
This The JEA Project, Governance and Administration Officer is a full-time role based in Hawthorn and is responsible for the following responsibilities:
Administrative liaison
Key administrative liaison with Jesuit Colleges and Companion Schools.
Organisation of Jesuit and Companions Schools Network (JACSA) Principals and Rectors meetings and JACSA Professional Learning Communities (PLC) meetings, including all associated administration.
Organisation and coordination of all JEA associated meetings.
Co-ordination of administration relating to appointments and re-appointment of College Directors.
Support of Ethos and Identity Reviews.
Project and event management
Organisation of events, workshops and meetings which are related to JEA, noting some local and interstate travel may be required.
Support with development of programs and training material.
Governance Support
JEA Board and Committee support and associated governance responsibilities, including attendance at JEA Board and Committee meetings as minute secretary and tracking of matters arising from Board and Committee meetings.
Managing board portals and ensuring timely distribution of materials.
Tracking action items and follow-ups.
Assistance with preparation and distribution of Board and Committee Papers.
Preparing and revising reports, business papers, emails, agendas, Board/other meeting support and presentations with strong attention to detail
Administration
Support with the development, implementation, review and improvement of organisational policies, procedures and practices.
Coordinate staff participation in meetings/events/consultations.
Research, collect and analyse data and other information to prepare reports and documents.
Establish and implement organisational systems and processes to ensure a smooth running and efficient office including maintaining electronic and manual files and keeping records up to date, secure and accessible.
Organise and manage diaries, travel and accommodation including prioritising and resolving time conflicts and competing demands, proactively scheduling important meetings with internal and external key stakeholders.
Arrange accounts/reimbursements for sign off by the authorised or delegated person.
Assist in managing and preparing budget spreadsheets.
Screen emails, responding and/or actioning as needed.
Perform general clerical duties to include but not limited to, scanning, copying, faxing, filing, and data entry.
Collect and open mail and forward correspondence to appropriate staff for action.
Update registers such as resolutions, director terms of office, board calendar, risk registers and other data entry and report generation tasks.
Work closely within the Society of Jesus and maintain effective working relationships with other staff in the Province office and across all ministry areas.
Experience/Qualifications required
The incumbent must have strong administration and organisation skills and maintain a high standard of professionalism, efficiency, personal communication, discretion and independent judgment. In working with internal and external stakeholders, including board members, they deal with a wide range of highly sensitive issues under tight deadlines/pressures.
Prior experience as a board secretary / legal assistant or experience working in a school setting would be highly beneficial along with a strong affinity to working in a faith-based, highly regulated education sector.
The JEA Project, Governance and Administration Officer will be subject to a Working with Children Check and a Criminal History Records check. Our organisation undertakes several screening processes to ensure the appropriate protection of children in its care. This includes reference checks, identity check, qualification checks and professional registration checks.
Safeguarding Children and Young People
Our organisation takes child protection seriously, the JEA Project, Governance and Administration Officer is required to meet the behaviour standards outlined in our Code of Conduct which has been received as part of the induction. A copy of the Province Code of Conduct can be accessed on the JEA Sharepoint site.
The JEA Project, Governance and Administration Officer is also required to undertake the following training programmes online:
The Province’s Code of Conduct training module; and
The training modules associated with Australian Childhood Foundation accreditation.
Therefore, the following duties and responsibilities, are also required:
provide a welcoming and safe environment for children and young people;
promote the safety and wellbeing of children and young people to whom we provide services;
ensure that your interactions with children and young people are positive and safe;
provide adequate care and supervision of children and young people in your charge;
act as a positive role model for children and young people;
report any suspicions, concerns, allegations or disclosures of alleged abuse to management;
maintain valid ‘working with children’ documentation;
undergo periodic ‘national criminal history record’ checks; and
report to management any criminal charges or convictions you receive during the course of your employment/volunteering that may indicate a possible risk to children and young people.
