Site Administrator / Document Controller (Quality & Safety Focus)
Location: Edinburgh in Adelaide North/ Beverley. South Australia
Overview
We are seeking a proactive and detail-oriented Site Administrator / Document Controller to support our project team at our site in Adelaide's Northern Suburbs. This critical role is responsible for the meticulous management of all project documentation, with a primary focus on Quality (ITPs) and centralising all project correspondence. A foundational understanding of Work Health, Safety, and Welfare (OHS&W) processes is a distinct advantage and contributes to maintaining site compliance.
Key Responsibilities
1. Quality & ITP Management
ITP Control: Manage the entire lifecycle of all Inspection and Test Plans (ITPs)—from formal receipt and logging to distribution, tracking approvals, and ensuring current versions are accessible on site.
Quality Records: Receive, log, scan, and file all completed Quality Records (e.g., ITRs, Test Certificates, Handover Forms), ensuring they are correctly signed off and compiled for final project documentation.
Handover Support: Assist the Project Manager in compiling the final project Handover Dossier, ensuring all quality documentation is complete and compliant.
2. Correspondence & Document Control
Drawing Control: Maintain a register of current design drawings and specifications, ensuring the site team and subcontractors are always working to the latest approved revisions.
Document Systems: Proficiently utilise the project's Electronic Document Management System (EDMS) (e.g., Aconex, SharePoint, RIBCx) for all document workflows, revisions, and retrieval.
3. Site Administration & OHS&W Support (Bonus)
Safety Documentation Support: Assist the Site/Safety Manager in the administration and tracking of critical WHS documentation, including:
Filing of Safe Work Method Statements (SWMS) and subcontractor documentation.
Maintaining the site induction register and training records.
Tracking and filing accident/incident reports and hazard observations.
General Site Support: Handle day-to-day administrative tasks, including:
Processing site timesheets, and invoices.
Coordinating site inductions, new starter paperwork, and visitor sign-in logs.
Ordering site consumables, office stationery, and managing incoming/outgoing mail.
Required Skills and Experience
Experience: Minimum 1+ years in a Site Administrator, Project Coordinator, or Document Controller role, ideally within the construction, engineering, or industrial sectors.
Technical Knowledge: Demonstrated experience with project documentation management, particularly with ITPs and correspondence control.
OHS&W Understanding (Bonus): A solid basic understanding of WHS principles, site safety documentation (SWMS, risk registers), and experience supporting a safety function is highly regarded.
Software Proficiency: Intermediate to advanced skills in Microsoft Office Suite (Word, Excel, Outlook) and experience with an Electronic Document Management System (EDMS).
Qualifications: Current Construction Induction White Card (essential).
Attributes: Exceptional organisational and time management skills, strong attention to detail, a proactive work ethic, and excellent communication skills.
