Hours: Monday to Friday, 9:00am – 5:00pm 5 days on site

About the Role

We are seeking a highly organised and proactive Office Coordinator / Executive Assistant to support the Managing Director and ensure the smooth day-to-day operations of the office. This is a varied role involving administrative support, office coordination, and assistance with events and staff onboarding.

Key Responsibilities

Provide high-level administrative support to the Managing Director, including diary management, travel arrangements, and expense processing

Coordinate office events, meetings, catering, and functions

Process invoices, foreign exchange contracts, and support accounts payable/receivable functions

Maintain internal registers and ensure office supplies are well-stocked

Assist with onboarding and offboarding processes for staff

Ensure general office organisation and electronic filing systems are up to date and well maintained

About You

Previous experience in a similar Office Coordinator or Executive Assistant role

Highly organised with a proactive and confident approach

Comfortable working independently and collaboratively as part of a team

Excellent written and verbal communication skills

Proficiency in Microsoft Word and Excel
