About us

Evolve Psychology Sunshine Coast is a boutique psychology practice aiming to provide the highest level of quality and care to its clients. We promote the health and well being of both clients and staff including an emphasis on work life balance. We aim to be inclusive of diverse individuals and environmentally friendly.

We have been open for nearly 3 years and have a thriving practice of 8 Practitioners providing a range of therapeutic and psychological assessment services to the local community and beyond.

The clinic has a Therapy Dog (Tilly) who works 2 days per week and will participate in sessions with clients as well as spending some time with the admin staff in the waiting area and going outside for walks.

The location is in Forest Glen Village precinct near the new IGA in a modern building with plenty of natural light and within walking distance to medical, shops, cafes, chemist, and plenty of onsite parking.

Positions Available

Both of our current Admin Team members are due to go on maternity leave and we therefore have 2 positions that need to be filled by December:

Maternity Leave (6-12 months) coverage from a more experienced candidate who can fill in for our Practice Manager ideally 3 days per week from January 2026.

Casual Administration Assistant 2 days per week (ongoing role).

Hours for both positions are 9am-5pm Monday-Friday. The split of days is negotiable. Usually these positions have set days and are available 50 weeks per year (we close for 2 weeks over Christmas each year).

Both positions will begin training shifts in mid-December leading up to the Christmas break (we will be closed from 22nd December and reopen on 5th January).

Qualifications & experience

Excellent verbal and written communication skills is necessary to the role.

Excellent technology skills such as an ability to learn the clinic software (Zanda) is necessary to the role.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential

Skills in customer service and a sensitivity towards vulnerable individuals is required for the role.

A willingness (and ideally enthusiasm) to work in an environment with a Therapy Dog is necessary to the role.

The ability to be reliable, punctual, responsible, and a mature attitude is necessary to the role.

Being a highly organised and efficient individual and able to problem solve and multi-task is necessary to the role.

Willing to perform light cleaning around the office such as watering plants, emptying the dishwashing, and vacuuming when needed.

A flexible person who is able to work independently as well as part of the administrative team.

Ability to obtain and maintain a National Police Check due to confidential nature of work

Experience in health/medical administration is desirable however training will be provided to the right candidate.

Healthcare/medical administration experience essential for maternity cover position, desirable for casual role

Minimum 2 years of administrative or office support experience (1 year for casual position)

Australian citizenship or permanent residency, or valid work visa required

Tasks & responsibilities

Manage email and phone enquiries, book new client appointments, and manage the waitlist.

Use the online Software program (Zanda) to manage all aspects of the clinic's administrative tasks.

Greet clients at the front desk, take payments and process Medicare/health insurance rebates.

Support a team of Psychologists (and one Social Worker) with administrative tasks such as sending invoices, letters, filing, and shredding.

In addition to these administrative duties you will also be needed to provide basic care to the clinic Therapy Dog when she is in clinic (such as providing water and taking out for toilet breaks).

Maintain a high level of confidentiality including the safe and responsible management of sensitive and private information.

Ensure all client invoices are paid in a timely manner and following up payment when needed.

Light cleaning of reception, kitchen and toilet area and watering plants.
