We’re looking for a highly organised, proactive, and professional Office Manager to ensure the smooth operation of our day-to-day business activities and support our growing team.
This position is a combination of office based and working from home.
The Role
The Office Manager will be responsible for overseeing all administrative operations, coordinating communication between management, clients, and staff, and ensuring compliance with company procedures and industry standards. This role is essential in maintaining efficiency, fostering a positive work environment, and supporting both office and field staff to deliver outstanding service to our clients.
Key Responsibilities
Manage daily office operations, including scheduling, correspondence, and record-keeping.
Coordinate and maintain cleaning staff rosters, timesheets, and leave requests.
Assist with recruitment, onboarding, and training of new employees.
Maintain client records, service agreements, and compliance documentation.
Respond to client enquiries, resolve service issues, and maintain positive relationships.
Process invoices, supplier payments, and assist with basic bookkeeping tasks.
Monitor and order cleaning supplies, PPE, and office equipment.
Ensure compliance with workplace health and safety (WHS) and company policies.
Prepare regular reports for management on operations, staffing, and performance.
Support business development activities, including preparing quotes and tender documents.
Skills & Experience
Proven experience in office management, administration, or a similar role.
Experience in the cleaning, facilities management, or service industry (desirable).
Strong organisational and multitasking abilities with a high attention to detail.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling systems.
Ability to work independently and handle confidential information with discretion.
Knowledge of WHS regulations and compliance requirements (advantageous).
