The Student Services Coordinator, under the supervision of the Assistant Director, Student Services and Administration, provides administrative support across Operations, Student Services, and Academic Programs. The primary responsibility of the position is to provide broad support as part of a team whose mission is to ensure the effective delivery of a first-rate study abroad experience. The coordinator also ensures programmatic support consistent with the high standards that have established NYU as a global leader in international higher education. This is a full-time position based in Sydney, Australia. Approximate time allocations for each duty category are indicated below but may be adjusted as necessary.
Operations and Finance (25%)
• Maintain high level of discretion and confidentiality
• Respond promptly to internal and external requests for information
• Liaise with wide range of external vendors and service providers
• Assist with invoice management, payment, record keeping and reconciliation
• Maintain NYU Sydney Google calendars, Drive and Groups
• Support the Assistant Director with financial planning and compliance tasks
• Provide additional support in emergency response and crisis management when required
• Participate in online and in-person meetings as needed across all divisions
Student Life (50%)
• Assist with student pre-arrival, arrival and departure tasks
• Evaluate existing and new student life initiatives using Sydney’s Programming Justification Matrix
• Assist with supervision and guidance of Program Assistant during Student Life programming
• Collaborate with the Assistant Director to develop and direct Sydney’s Intercultural Learning
initiatives and committees; attend online and in person meetings as required
• Contribute to the development and execution of Sydney’s Reconciliation Action Plan
• Supervise student leaders such as Sydney’s Intercultural Learning Fellow/s and Student
Ambassador/s
• Support the Assistant Director in conducting BASE and conduct meetings
• Assist with ADVOCATE case management
• Support students with health and wellness bookings and insurance queries
• Assist with housing processes in StarRez, including room allocation, communications, checkin/ out, and billing.
• Contribute to the planning and execution of conferences, meetings and special events
• Cultivate student community groups with an emphasis on sustainability, legacy group creation and effective handovers.
Academics (25%)
• Supervise Program Assistant in maintaining folders and contents in Google Drive
• Book tickets and transport for field trips
• Supervise Program Assistant with tracking assignments, guest speakers and field trips
• Update CMS Website course inventory lists
• Assist with NYU local exchange info sessions
• Provide support for supervising exams
• Assist with Class entry in CLSS
• Serve as main point of contact for guest speaker and field trip invoicing
• Monitor USYD course availability each semester
• Add USYD classes to student Alberts each semester
• Enter USYD grades into Albert each semester
• Assist Assistant Director Academic Coordination and Planning at conferences and for special programs.
