We are looking for a bright, capable, and friendly Administrative Assistant to join our team at CapitalQ. This is not a “sit quietly at a desk” role. It is hands-on, people-focused, and varied. You will be the first face clients see when they arrive, the go-to support for our Directors and General Manager, and the organiser who helps keep everything ticking along smoothly.
Yes, part of the role is making sure the office looks sharp (think emptying bins and keeping the kitchen tidy). But it is also so much more. You will play a key part in helping us deliver a professional, welcoming, and efficient experience for both our clients and our team.
Key Responsibilities
Be the welcoming face of CapitalQ, greet clients warmly and manage front-of-house
Support Directors and the General Manager with day-to-day administration and follow through on delegated tasks
Keep our office running smoothly: calls, emails, filing, scanning, scheduling, and supplies
Maintain a professional, organised office environment. We know taking out the bins, doing the dishes, and keeping the office clean and tidy is not glamorous, but it is an essential task for this role that helps the whole team work at their best
Assist in planning staff events and celebrations
Take initiative to identify what needs doing, while checking in to ensure your efforts align with team priorities
What We’re Looking For
A bubbly, professional personality who enjoys making others feel welcome
Someone intelligent and capable, who is confident working autonomously once guided, and comfortable taking direction from leadership
Previous admin or front-of-house experience preferred
Great communication skills, both written and verbal
Strong organisational skills, with the ability to juggle tasks without dropping the ball
Proficient with Microsoft Office and generally tech-savvy
