About the Role
We’re looking for a full-time Electrical & HVAC Estimator & Billing Officer to join our growing team. This role is perfect for a detail-oriented person who thrives on supporting the team from the first estimate to final invoice – all while working with a great bunch of people.
This role is designed for an experienced ex-sparky (or someone with a strong background in the electrical/HVAC industry) who has experience in estimating and invoicing and is now ready to transition full-time into an operations role.
Your core responsibilities will include:
Preparing and issuing accurate invoices for everything from small service jobs to larger project works.
Creating, pricing, and submitting estimates for everything from small service jobs to project works including conducting site inspections and liaising with suppliers to obtain pricing for materials and equipment.
Using and creating pre-built pricing templates and scripts to streamline quotes and invoices, while confidently handling custom project estimates.
Following up on outstanding quotes and communicating with clients where needed (supported by our scripts and processes).
Coordinating with the delivery team once quotes have been accepted to ensure accurate delivery.
A Day in the Life
Start your day in our Oxford Falls office, grabbing a coffee and checking in with the team. You’ll kick things off by finalising invoices from the previous day’s service jobs and projects, making sure everything is accurate and sent out promptly.
Mid-morning, you’ll review new quote requests – preparing quotes for small service works using our pre-built pricing templates and scripts, while also mapping out larger job estimates. You’ll often collaborate with our electricians and team to confirm scope and pricing before sending quotes to clients.
After lunch, you might head out to a site inspection – scoping a tricky maintenance job, an A/C installation, shop fitout, or EV charging infrastructure project. You’ll gather the details you need to price the job properly, often liaising with suppliers to confirm material costs.
Back in the office (or working from home on some days), you’ll spend the afternoon building estimates, following up on outstanding quotes, and coordinating with the delivery team on jobs that have been approved. Before wrapping up, you’ll check in with the field crew, making sure projects are on track and that your estimates and billing align with the work being delivered.
No two days are the same – one day might be office-heavy with billing and estimating, the next might see you out on multiple sites around Sydney. It’s a dynamic mix of technical know-how, commercial focus, and teamwork.
What We're Looking For
Minimum 5 years’ experience in the electrical/HVAC industry.
Previous experience in estimating and invoicing (ideally in trade services, construction, or contracting).
Strong numerical and commercial awareness when preparing estimates.
High attention to detail – please include ‘HATD’ at the bottom of your cover letter to show you’ve read this ad carefully.
Familiarity with job management software like simPRO (bonus points if you’ve used it before).
Great time management and ability to prioritise tasks.
Clear, friendly, confident, and calm – on the phone, over email, and under pressure.
A proactive, can-do attitude – think ‘glass half full’.
A self-starter who takes ownership and pride in their work.
Great communicator (written and verbal) with clients, tradies, and suppliers.
Tech savvy and can pick up systems fast (we use SimPro, Xero, Google Workspace to name a few!). We’re big on new technology to improve how we work!
