Key Responsibilities:
Answering Phones: Provide excellent customer service by answering incoming calls, directing inquiries, scheduling appointments, and relaying messages to the appropriate team members.
Logistics Support: Assist in coordinating daily schedules, managing appointments, and tracking job progress. Work closely with field teams to ensure timely and efficient service delivery.
Administrative Support: Help managers with various administrative tasks such as filing, record-keeping, data entry, and correspondence. Maintain and update customer and job records.
Invoicing Assistance: Assist in preparing, generating, and sending invoices to clients. Ensure accuracy and timely processing of payments.
Client Communication: Respond to customer inquiries via phone and email, providing information on services, scheduling, and billing issues.
Document Management: Organize and maintain physical and digital files for projects, including contracts, work orders, and billing statements.
General Office Support: Assist in day-to-day office operations, including ordering office supplies, managing mail, and maintaining a clean and organized office environment.
Requirements:
Experience Requirements: A minimum of 2 years experience in administration with excellent phone handling experience is required.
Software Requirements: Microsoft Office proficiency is required for administrative tasks.
Proven ability to problem-solve and have strong organisational skills.
Confidence to work collaboratively and autonomously.
Must be able to start as soon as possible.
