The Strata Management Team Leader is a senior leadership role responsible for supporting the Head of Department in managing the operations of the strata division. This role involves overseeing the day-to-day performance of the strata management team, ensuring adherence to compliance standards, enhancing service delivery, and fostering a collaborative team culture.
In addition to maintaining their own strata portfolio, the Team Leader will actively assist with onboarding, training, operational support, and staff development, with a focus on increasing departmental efficiency.
Supporting the management departments, responsibilities include but not limited to:
- Support the Head of Department in overseeing the strata team’s operational performance
- Mentor and guide strata managers to ensure consistency and high service standards
- Drive continuous improvement in internal processes and client satisfaction
- Promote collaboration and accountability within the team
- Act as a liaison between strata staff and the Head of Department
Team Leadership and Staff Support
- Provide daily operational oversight to strata staff
- Offer guidance, mentoring, and real-time support to team members
- Identify staff development opportunities and training needs
- Assist in performance reviews by providing feedback and insights to the Head of Department
Onboarding and Training
- Facilitate onboarding of new team members, including training on company systems and software
- Create training resources and deliver regular development sessions
- Be a go-to contact for procedural and compliance-related questions
- Support new staff through their probation period
Operational Support
- Assist with meeting preparation and attendance (AGMs, committee meetings, etc.)
- Provide support during periods of high workload or staff absence
- Step in to manage escalated matters when needed
- Monitor team processes to ensure documentation, deadlines, and communications are consistent
Compliance and Risk Management
- Support staff in interpreting and applying strata legislation
- Ensure correct handling of insurance claims, by-law enforcement, and regulatory requirements
- Monitor compliance checklists and risk mitigation practices
Financial Oversight
- Assist team members with budgeting, levy setting, and trust account compliance
- Support debt recovery processes and communication with debtors
- Ensure financial reports meet internal and legislative standards
Maintenance and Repairs
- Guide team members in contractor management and quote sourcing
- Oversee preventative maintenance strategies across the portfolio
- Support coordination of major works and defect claims
Client Relations and Conflict Resolution
- Coach team members on handling difficult client conversations
- Assist in resolving escalated client concerns or disputes
- Support effective communication between owners and committees, particularly in sensitive matters
Process Improvement and Innovation
- Identify opportunities to streamline processes and improve efficiency
- Collaborate with the Head of Department to trial and implement improvements
- Assist with the integration of new systems, templates, or operational policies
