Language Disorder Australia is seeking a Finance and Administrative Assistant.
Position: Finance and Administrative Assistant
Location: Head Office, Toowong
Position Type: Full Time, Part Time, Temporary
Start Date: As soon as possible
The Finance and Administrative Assistant is responsible for providing administrative and clerical services to the Finance and Corporate Services teams. As our Finance and Administrative Assistant you will be responsible for providing finance support services to the finance and corporate services teams including, but not limited to data entry, reconciliations, accounts payable and receivable, payroll, general ledgers, sub ledgers and assisting in the production of financial reports
The position will require a high degree of communication and flexibility to ensure effective and efficient implementation of the duties. In this role you will be required to have a high level of understanding and application of privacy policies and procedures.
While this position is initially temporary, it has the potential of being extended or converted to permanent in the future.

WHAT YOU WILL DO
As a Finance and Administrative Assistant, you will:
Respond to account-related queries from families with professionalism and empathy—whether by phone, email, or in person—ensuring clarity and support in every interaction.
Generate and issue invoices, statements, and payment reminders, and follow up on outstanding fees with tact and consistency, maintaining accurate debtor records and contact notes.
Prepare aged debtor reports for the Finance Manager and liaise with external debt collection agencies when required, always upholding confidentiality and integrity.
Perform daily and monthly bank reconciliations, process receipts, and allocate payments with precision, supporting payroll and journal entries as needed.
Reconcile credit card, debit card, and control accounts to the bank and general ledger, ensuring financial accuracy across all systems.
Assist with processing accounts payable invoices and payments, and manage ad hoc charges such as excursions and extracurricular activities with timeliness and attention to detail.
Maintain financial records in line with regulatory and internal standards, support year-end schedules and audit preparation, and ensure compliance with internal controls and fraud prevention protocols.
Provide general administrative support including data entry, document production, scanning, filing, and inbox management—ensuring smooth day-to-day operations across the finance function.
WHAT YOU WILL NOT DO

Ignore the human side of finance. You’ll engage with families and stakeholders with empathy, clarity, and professionalism, even when navigating complex financial conversations.
YOU BRING
Certificate III or IV in Accounting/Bookkeeping or equivalent experience.
Proficiency in financial software (e.g. MYOB, Xero, TASS) and Microsoft Excel.
Demonstrated experience in accounts receivable and reconciliation tasks.
Excellent communication and interpersonal skills.
High attention to detail and ability to manage confidential information.
Ability to provide cover when the Finance Officer is on leave.
Experience in the education or non-profit sector (desirable).
Familiarity with debt collection processes, regulations and practices (preferred).
Experience with general ledger systems and journal preparation (desirable).
