About the Role
This is an exciting opportunity to join Kennedys Group as a Contracts Administrator/Operations Coordinator at our Williamstown Branch. In this maternity leave role, you will play a pivotal part in the successful delivery of our projects. Working closely with Project Managers, technicians and key stakeholders, you will oversee all aspects of contract administration to ensure projects are delivered on time, on budget and in compliance with regulatory requirements. This role will suit someone with strong commercial acumen, proven subcontractor management experience and the ability to balance multiple priorities in a fast-paced environment.
Key Responsibilities
You will be responsible for managing and coordinating the full lifecycle of contracts and project administration including:
Set up and manage new jobs in our project management system.
Coordinate job files, schedules, budgets and project tracking.
Liaise with Project Managers on budgets, materials and delivery schedules.
Review project drawings, identify variations and support contract compliance.
Manage materials take-offs, RFQs, purchase orders and invoice reconciliations.
Monitor project information, correspondence and reporting.
Administer subcontractor agreements including progress claims and variations.
Assist with project close-outs, O&M manuals and small works pricing.
Prepare timesheet schedules for wage review.
Skills & Experience
To succeed in the role, you will bring:
3–5+ years’ experience as a Contracts Administrator in commercial or construction projects.
Strong knowledge of subcontract management, RFQs, variations and Security of Payment requirements.
Clear understanding of contract notices, EOTs, LDs and flow-down obligations.
Excellent planning and prioritisation skills across multiple projects.
Confident communicator with the ability to work collaboratively with clients, subcontractors and site teams.
Proficient in project management software such as SimPRO, Procore or similar, plus strong Excel skills.
