Position Overview

Position Status: PA/Administrator

Reporting To: Owner/ Director

Liaise With: Sales team, installers, suppliers, and clients

Expected Hours: 9:00am – 5.00pm, Monday to Friday (with flexibility if needed)

Pay/Rate: Negotiable based on experience and capability

Role Summary Located in our store in Erina, this role supports the day-to-day administration and coordination of our flooring retail store and installation projects across the Central Coast/ Hunter Valley region. You'll help ensure the office runs efficiently, documents are accurate and up-to-date, and communications with staff, suppliers, and clients are professional and timely.

Responsibilities

Arrive on time and ready to start each day

Answer phones and direct enquiries professionally

Support the Owner/Director with emails, job documentation and scheduling

Maintain accurate records, including job files, quotes, and purchase orders

Process incoming and outgoing mail and emails

Liaise with suppliers for orders, quotes, and delivery tracking

Assist with basic accounts tasks (e.g. entering invoices, reconciling purchases)

Use job management software to create and update jobs

Monitor and manage office supplies and general tidiness

Help coordinate inductions and paperwork for new staff and subcontractors

Keep safety documentation current and accessible (e.g. SWMS, inductions)

Upload and manage photos, certificates, and compliance records

Ensure client and supplier contact details are up to date

Maintain confidentiality and professionalism at all times
