Job Title: Administration Coordinator (part-time)

We're looking for a detail-focused Administration Coordinator to join our small, dedicated team at Australian Society of Rehabilitation Counsellors (ASORC). About the Role
Reporting directly to the CEO, you’ll play a key role in the smooth functioning of day-to-day operations of the organisation and provide high-level executive support. This is a varied and rewarding role for someone who is reliable, highly organised, detail-oriented, and proactive in ensuring the smooth functioning of our operations. It is a key position in our small and dynamic team, requiring a self-starter who can manage competing priorities.

Key Responsibilities
Executive Support:
High level assistance to the CEO including managing calendars, correspondence, meetings, and travel arrangements.
Co-ordinate logistics for Board meetings and AGM including board agendas, papers, minutes, and follow-up actions.
Draft, proofread, and format correspondence, reports, and presentations.
Maintain confidentiality and handle sensitive information with discretion.
Administration & Office Coordination:
Maintain office systems, accurate records, and digital filing.
Support financial processes invoices, reconcile expenses, and liaise with accountants.
Respond to member and stakeholder enquiries.
Coordinate internal communications, support daily operations and respond to general queries
Use CMS database
Project & Event Coordination:
Assist with planning webinars, conferences, and workshops.
Support the implementation of strategic initiatives, deliverables and progress reports.
Liaise with sub-committee members, stakeholders, and guest speakers.
Selection Criteria
Essential: What you will bring to the role.
More than 5 years’ experience in an administrative role that includes executive support or office management
Strong customer service skills.
Demonstrated excellence in organisational and time-management skills with strong attention to detail.
High proficiency in Microsoft Office Suite and cloud-based platforms (e.g., Zoom, Dropbox).
Excellent written and verbal communication skills.
Ability to work independently, prioritise and manage multiple tasks, and meet deadlines.
Discretion and professionalism in handling confidential information.
Experience with digital communication platforms and CMS systems
Self-motivated with a pro-active approach to operations
Desirable:
Experience working in a not-for-profit, membership-based association, or allied health-related organisation.
Knowledge of governance procedures or providing support to boards/committees.
Interest in allied health, disability or veteran support
